Data Management and Analysis for Apartment Complexes in Phoenix, Arizona Using Excel 2019

Introduction


Data management and analysis of apartment rentals can significantly improve decision-making processes, increase revenue, and ensure better tenant experiences. The Excel project presented focuses on analyzing a dataset from several apartment complexes in Phoenix, Arizona. The tasks include sorting, subtotaling, creating PivotTables, and visualizing data using PivotCharts and slicers. This project underscores the importance of utilizing data analytics to drive informed business decisions in property management.

Data Sorting and Subtotaling


Initially, the dataset must be sorted to facilitate meaningful analysis. By selecting the "Summary" sheet in the Excel workbook named Exp19_Excel_Ch05_Cap_Apartments.xlsx, the data should be sorted by "Apartment Complex" in alphabetical order and then by number of bedrooms (“# Bed”) from smallest to largest. Excel’s sorting functions simplify obtaining a \( clean, organized dataset \) (Harris, 2020).
Next, the Subtotal feature is utilized to calculate the average total deposit by both "Apartment Complex" and the number of bedrooms.
1. First, insert subtotal rows by "Apartment Complex" to calculate the average total deposit.
2. Secondly, further add a subtotal without removing the previous one, which calculates the average total deposit by "# Bed".
3. By employing outline symbols, only subtotal rows can be displayed, allowing for clearer insights into the dataset.
This structured approach leads to a successful display of key performance indicators, addressing deposit averages across different complexes with varying numbers of bedrooms (Hofmann, 2019).

Creating PivotTables for Rental Revenue Analysis


In the "Rentals" sheet, a blank PivotTable should be created on a new worksheet named "Rental Revenue." The new PivotTable is named "Rental Revenue" to reflect its focus on rental insights. The analysis will include:
- Rows: Apartment Complex and # Bed
- Values: Rental Price
Further, the accumulated rental prices are formatted applying the Accounting Number Format with zero decimal places and renamed as "Total Rent Collected." By filtering the “Occupied” field to only show "Yes", analysts can specifically understand the revenue generated from occupied units.
To forecast revenue changes, a calculated field is introduced to simulate a 5% increase in rental rates by multiplying rental prices by 1.05, renaming this to "New Rental Revenue" (Johnston & Coyle, 2021).

Presentation Formatting


Formatting is essential for clarity and professionalism in presenting data. The range B3:C3 is formatted with:
- Wrap Text
- Right Alignment
- Height adjustment to 30
Similarly, column adjustments are made where column B is set to a width of 9.29 and column C set to 14.43.
The application of Light Orange, Pivot Style Medium 10 enhances readability through banded rows, and the introduction of a slicer for "# Bed" allows quick filtering by the number of bedrooms.

Timeline and Additional Data Analysis


In order to analyze remodeling data over time, a timeline linked to the "Last Remodel" field is integrated. The timeline allows users to filter data based on years which reflects the timespan of renovations and updates done to the apartments.
The style is consistent with the data theme—Light Orange, Timeline Style Light 2—and dimension adjustments change the height to 1.4 inches and width to 3.75 inches.

Creating Data Relationships


The Databases sheet contains two tables: "APARTMENTS" and "COMPLEX." Establishing a relationship between these tables through the "Code" field is vital for streamlined data connection. This relational structure enables the user to craft a PivotTable that integrates both datasets.
The creation of a new PivotTable from the data model, named "BedroomData", categorizes apartments based on their respective complex (rows) and number of bedrooms (columns) while providing value counts displayed as a percentage of row totals (Kirk, 2019).

Deploying Data Visualization


A Clustered Column PivotChart is generated to visualize the distribution of bedroom counts across apartment complexes. The chart is formatted by altering the 3-bedroom data series to a specialized light fill color for enhanced visual distinction, with a specified height of 3 inches and width of 5 inches.
Furthermore, all field buttons in the PivotChart are hidden to ensure a cleaner presentation.

Final Steps: Footer and Documentation


Each worksheet is documented by adding a footer containing personal identification (one's name), the sheet name code at the center, and the filename code to the right. This integrated documentation practice is crucial for identifying contributors and maintaining project integrity.
Finally, save the completed file, ready for submission as outlined in the project instructions.
