As part of the preliminary investigation for our group project, we are tasked with analyzing the requirements, process modeling, data modeling, and feasibility study. This document focuses on the creation of a Data Flow Diagram (DFD), Entity Relationship Diagram (ERD), and a comprehensive feasibility analysis. By leveraging qualitative and quantitative techniques, we aim to develop a comprehensive understanding of our organization's needs in its quest to improve its operational efficiency through new systems implementation.
Requirements Analysis and Process Modeling
Data Flow Diagram (DFD)
1. High-Level Context Diagram:
The high-level context diagram outlines the major processes and entities interacting with the system. In our context, it depicts the interactions between the organization, external stakeholders, and the system. The primary entities are the Customers, Suppliers, and Internal Users.
2. Functional Decomposition Diagram (Level 0 DFD):
The Level 0 DFD maps out the core functions of the proposed system. For our organization, functions can be broken into several processes including:
- Order Processing
- Inventory Management
- Invoicing and Payment Processing
- Customer Relationship Management
Each of these processes captures inputs, performs actions, and generates outputs that flow to or from external entities. (Please refer to the group appendices for the graphical representation.)
3. Decision Table:
To visualize the logic involved in the Order Processing function, we present a decision table that delineates various cases such as order validity checks based on stock availability and customer account status.
Requirements Analysis and Data Modeling
1. Entity Relationship Diagram (ERD):
- Entities Identified: The following entities have been defined to encapsulate the key aspects of our study:
- Customer: Information about customers, including ID, name, and contact information.
- Order: Details about the orders placed by customers, such as order ID, order date, and total price.
- Product: Information about the products, including product ID, name, description, and price.
- Supplier: Information about the sources of products.
- Business Definitions: Each entity emphasizes its role within the system. For instance, a Customer must exist to process an Order, while an Order must reference a specific Product.
The ERD illustrates the relationships and attributes available for each entity, ensuring a structured approach to database design. (Refer to appendices for graphical input.)
Feasibility Analysis
Feasibility analysis is a crucial step in project planning as it allows us to evaluate the viability of our solution based on various parameters.
1. Total Costs/Benefit Analysis:
- One-time Costs: These include development costs, system setup, and training expenses.
- Recurring Costs: Regular maintenance, support, software updates, and license renewal fees.
- Benefits: Improved operational efficiency, reduced manual handling, enhanced customer satisfaction, and potential revenue generation through streamlined processes.
We formulated estimates over three years to project these potential returns, which indicated that projected benefits outpace costs significantly.
2. Analysis Matrix with Weighted Scores:
In evaluating various solutions, we utilized a scoring matrix that considers multiple factors including cost, implementation time, scalability, and functionality. Based on the weighted scores derived from team discussions, three potential solutions emerged as frontrunners, reflecting a balance of advantages with minor potential drawbacks.
3. Selection of the System Solution:
Based on the findings and ranking from the analysis matrix, the preferred solution encompasses an integrated software system that ensures seamless communication between critical operational areas—Order Processing, Inventory Management, and CRM functionalities. This selection aligns with the organization's goals to achieve operational excellence while enhancing customer engagement throughout the order lifecycle.
Team Evaluation
Post-exam evaluations have encouraged collaboration and individual accountability within our group. Each team member's contributions were acknowledged through documented discussions and meetings. To facilitate team progress:
- Agendas: Each meeting's agenda outlines discussion points, designated roles, and responsibilities.
- Summary Notes: Notes record decisions made and core messages conveyed, ensuring every member remains updated on project developments.

The milestone provides a foundational analysis toward implementing an effective system for our organization.
