Case Study: You are working with one of Annkissam's clients. You are helping the client design what data they should collect when they enroll a new "consumer" in their program. They tell you the following points: If we don't have the consumer's first name and last name when we bill for the services we provided to the consumer, we won't get paid. Our process is to meet with each consumer and do an "intake" on them. For the intake, we collect the following data: Consumer's SSN Consumer's diagnosis Consumer's first name Consumer's last name Does the consumer have a representative? Before we can provide service to the Consumer, we have to get an EIN for them. After we get an EIN for them, we send them a Welcome Packet. After they get the Welcome Packet, they call us with any questions. We answer those questions over the phone. It would be nice to know what different questions people ask us so we could use those to make our Welcome Packet better and to train our staff. Once the Consumer has the Welcome Packet, we can start providing services to them. We can bill for the services as soon as we provide them. Billing for the services is important so that we're bringing in revenue to cover our costs. If your client told you this, what questions might you have for the client? Questions to ask the client:-

1. How is the data being handled currently?

2. Does old data need to be migrated?

3. How will the consumers' data be collected? Will it be through the company's website, through email, snail mail or personal interaction of the consumer with a company representative?

4.What are the required timelines for generating an EIN once a consumer's data has been recieved? How long does it currently take?

5. What is the format of the EIN(Numeric or Alpha-numeric)? Is it generated randomly or sequentially?

6. What are the timelines for sending out the Welcome Packet once the EIN has been generated?

7. Is there already an existing collection of questions asked by consumers?

8. How often is the Welcome Packet updated?

9. Is the Welcome Packet sent by snail mail as a hard copy or through email or both?

10. How do you keep track of whether or not the Welcome Packet has been recieved by the consumer? Can you start providing services when the Welcome Packet is sent out rather than when it has been recieved by the consumer?

11. What are the Regulatory requirements for storing and accessing the data?

12. What internal controls are required to handle:- a) Financial info and transactons

b) The consumers' medical data

13. Do you need to be able to audit any changes made to the data?

14. What are the different levels of access that you want your employees to have? How many such groups of 'access-level' will there be?

15. Do you want to be able to make changes to saved data?

16. Do you want the database structure to be flexible? (Not recommended)

17. How much growth in consumer numbers are you expecting? This is required to find the potential size of the database.

18. What are the different payment methods available to the consumer?
