Situation:You are a coach of a competitive girls U-14 soccer team. Your team is halfway through the season. During a game, two of the parents get in a fist fight and yell expletives at one another. The fight is over the performance of one of the forwards. The fight is so disruptive a bystander is pushed onto the field and play is disrupted. The forward is the daughter of one of the parents. It has also been discovered that the parents had been drinking alcoholic beverages. Additionally, throughout the game, another parent repetitively and loudly yells at the referee when she disagrees with the calls of the game. As a result, the referee refuses to ref at any other games. The situation has resulted in a need for multiple forms of technical reporting and communication.
I decided to choose the parents of all the soccer club players. The audiences, in this case, are the parents of the Soccer Club Players. The content must address the main points of the audiences that will be the complaint areas of the parents, as well as the playing and participation guidelines for the players. The content must be comprehensive enough to address all of the pain points of the audiences. A frequently asked questions section can also be added to address the generic questions. The letter can highlight the major changes in the policies and procedures of the club. The details of the same can be attached in the annexure.
CREATE a technical report that is a response letter to all parents (in the soccer club as concerned parents have complained). The letter includes new policies and procedures that have been put in place to resolve the issue.

To: All the Parents of the girls of U-14 soccer team.
Sub: Recent events and problems occurring during the games.
Dear Parents,
I am writing you this letter against the backdrop of few recent events that have taken place during the games. As you are all well aware of the events I will not mention these events but would like to mention that these events are taking the focus away from the games. More importantly it is distracting our girls and hence is hampering their ability to play. As parents and as a mentor we should all create an environment which will help our girls to thrive and to excel in the sport. To do this I have develop a certain set of guidelines which will be implemented from the next game onwards.
First of all from the next game onwards no alcoholic beverages will be served. Secondly parents are advised not get into any kind of altercations, arguments and use of force and expletives before, during and after a game. Thirdly parents are strongly advised not to yell at referees and pass comments on the decisions being made by the referee. This not only irritates the referee but also distracts the girls.
I hope all of you, as well wishers of your wards, will agree to the above mentioned points and adhere to them from the next game onwards. I would again like to reiterate that these guidelines are being implemented keeping in mind the best interests of your ward and to enable them to become better players and reach their potential.
