Answer:

Let us take an example of a meeting under taken by us of all the departmental heads of an organisation which has its departments spread over at different locations and in different cities. Thus, it is not practical to call all the heads at a place therefore, we decide to take a meeting with department heads physically available at our place and the others on video conferencing. We are heading the meeting as the coordinater and General Manager of the Organisation.

1. Classification of Meeting: It is an Organisations' Departmental Heads Meeting for discussion on the current scenarios and based upon that planning for the future plans and developments.

2. The people the meeting are the departmental heads say of Accounts Department, Sales & Marketing Department, Production Department, Purchase Department, Human Resource Department. Therefore, all these heads perform their department related duties and guide, manage and control their departments.

3. The leader is responsible to make sure that everyone attending the meeting should take equal and actual participation in the meeting, This is the only success of a meeting when all the participants attend the meeting actively. To assure active participation from all the leader shall take care that the discussion should involve such material that is related and concerned to all the attendants, from time to time he should ask in general to all and where required then specifically to some people; for their views on the matter. The leader should be a patient listener and should be good in his communication and coordinating skills.

4. Yes, as detailed above we used the technology of video conferencing to channel the meeting with our department heads not available physically with us. Yes, the technology used was effective as it was as good as having a discussion with all seating round a table.
