Prepare a meeting for your office, or home. What would you do prior to the meeting, how would you contact the members, which members would be invited, and what should they bring to the meeting. Develop an Agenda including time elements of the meeting. Add anything else you believe would make the meeting effective and efficient.

Q1) Communication skills are really important for any individual to effectively express one's thoughts. An individual is juded based on the way he/she communicates. Job interviews around the world look for candidates who possess decent communication skills.

Communication is of three types -

1. Oral or Verbal communication - Oral communication is the most common way of communication where individuals talk to each other to express their thoughts.

Self-assessment - My oral communication is decent to communicate with people as I spell words properly and structure my thoughts effectively.

Areas of improvement - I need to work on my vocabulary - by learning and trying to use more words to frame a statement/sentence.

2. Written communication - Written communication is expressing one's thoughts through letters, emails, messages, posts, blogs etc. This kind of communication is highly effective as it puts together a structured presentation of what a person wants to express verbally. Few people who aren't quite good at their verbal communication might be good at written communication.

Self-assessment - My written communication is very effective as I think through how to structure my thoughts and present to others. I effectively use punctuation as it is a key to draft a written message properly.

Areas of improvement - I need to work on my speed of writing as it takes more than average time for me to communicate through a written message compared to my verbal communication. This can be done by writing more.

3. Non-verbal communication - Non-verbal communication is communiating through gestures, facial expressions, body language, hand movements etc. In many cases, a person is judged based on his/her body language, gestures etc. Hence, this kind of communication is important while interviews, client meetings etc.

Self-assessment - I have a firm body language which helps me assert confidence in how I project myself.

Areas of improvement - I need to improve on my concentration while communicating non-verbally. This helps me to focus on what I need to express.

Q2) Office meeting regarding arrangement of a day outing for 200+ office staff at a resort in the city in September 1st Friday.

Preparation prior to the meeting - Booking office room, finalizing the core team, coming up with structure of the meeting etc.

Contacting members - Members of the meeting would be contacted through an outlook meeting invite which will have the details of the meeting room, meeting time, subject and a body with agenda of the meeting.

Members to be invited - Core team with various designations as required for the roles to be taken.

Contribution of members in the meeting - The members must bring in ideas regarding the theme to be selected for the party, various pre and on the spot events for the party, dividing office staff into various teams, resort selection, transportation and logistics for the party etc.

Agenda of the meeting: (Total - 45 minutes)

Providing details of the party date and other basic details - 5 mins

Keeping meeting open for brainstorming for ideas related to theme and events - 20 mins

Selecting various sub teams in the core team as below - 15 mins

Events team, Transportation and logistics team, Resorts team, Design and mailers team, Procurement team etc.

Finalizing on the teams and deciding on next meeting - 5 mins

The meeting will be more effective if the team comes prepared with ideas beforehand and the organizer successfully coordinates the meeting according to the agenda.
