Employee training and development is essential for any organization because it focuses primarily on employee competency, training, and developing their skills through education to help satisfy the company's long-term needs and goals. Training also helps individuals develop their careers and improve their value in their current and future employers. Human resource development is considered an essential part of any organization because it helps maximize productivity and improve effectiveness.

Every organization should always track the various training the employees have undertaken to ensure that no employee uses backdoor means to show they have done specific training while, in reality, they have not done any training. Long-term development depends on how well the employees are trained and prepared to face the future. This report aims to provide a way forward on how our company can integrate the employee development and training module into our existing ERP for easy tracking and automatic updates of all certifications and training undertaken by employees.

The report will be submitted to the steering committee for approval before implementation and budget allocation.

Problem and Motivation

The main problem facing the organization is the inability to keep records of all employee training and development undermined during their time at the company. Some employees send certificates gained from LinkedIn Learning to the human resource department, but there are cases where forged certificates are submitted. The existing ERP system lacks an automated module that updates employee certifications from online learning platforms like LinkedIn Learning and Udemy.

Currently, employees who have undertaken training are required to send their certificates directly to HR, making the process tedious and hindering the HR department from verifying the authenticity of these documents. Given the large number of employees, the manual progress tracking often results in delays, leading to the management's inability to make timely decisions regarding employee development.

Furthermore, not all employees remember to send their progress, and some may submit fraudulent certificates, creating more errors in tracking employee competency. As we progress technologically, it's vital for our company to automate these processes to remain competitive.

Proposed Solution

The proposed solution involves integrating the company's ERP with the LinkedIn Learning and Udemy platforms such that any employee who completes a course or obtains a certificate will have this information automatically updated in the ERP system. This integration can be achieved using Application Programming Interfaces (APIs) that allow for effective communication between our ERP system and these learning platforms.

We recommend employing experienced programmers to assist with the integration process, opting for a development-based approach instead of a custom integration due to its efficiency and adherence to the required protocols. The security provided by API keys will also ensure that the data shared between platforms remains confidential and safe.

Additionally, we have the option of utilizing plugins to enhance our ERP’s functionality, which can also automate the recording of employee achievements. By centralizing employee data, the organization will streamline its business processes and significantly reduce the time required for performance updates.

Adjustments to the company’s Active Directory will help further automate this process, minimizing errors during progress updates and allowing HR to focus on more critical tasks. Despite the initial costs associated with integrating our ERP system, the long-term savings from reduced manual work will justify the investment.

Automating this process will decrease the potential for fraudulent activities among employees since they will need to complete coursework to earn actual certifications. This will provide the organization with a reliable record of employee skills, thus streamlining the employee development and training process, which is crucial for projecting performance and market value in the future.
