Your organization is contemplating the purchase of a new human resource information system and has tasked you with formulating a proposal. Organizational details for you to consider for this assignment are as follows:
There are a total of 500 employees at the site; 450 non-exempt employees who clock in and out each day, and 50 exempt employees who do not use a time clock and are paid a standard weekly salary.
The organization has an electronic time capture and payroll system already in place that:
- is manually updated when employees are hired or terminate employment
-is a stand-alone application, not interacting with any other database system
- is maintained by two full-time payroll administrators, reporting to one payroll manager
Human resource records are primarily paper-based.;
- Employee personnel files are maintained in file folders
- Personnel files are manually updated with demographic, performance, and disciplinary information
- Demographic data is available currently in an Excel database, which is manually updated
- Personnel files are maintained by four full-time human resource clerks, who are non-exempt and report to the full-time HR manager.
The new HRIS system is expected to drive a self-service approach to records management, while also ensuring confidential and proprietary data is secure.

What are the major factors to consider when an organization is considering upgrading or implementing a new human resource information system as it relates to project implementation costs and security of confidential data?

Any organization always think of revenue before anything which makes us understand that money is the main player in any firm so to spend a money on any factor which doesnt create money for them is wastless. so to use the company money for something like that need a valid and strong reason. A new human resource information system (HRIS) is needed to purchase here which help the company for keeping a record of the employee while working in a more advanced way and less time-consuming.
Our company has 450 non-exempt employees and 50 exempt employees so to record the data of every employee we have electronic time capture and payroll system which is using by our organization. but as the time change, we need to change that system with HRIS. for this there are several factors why we need that change:
1. nowadays as the time change much new technology is coming which save our time and in a business time is money, HRIS reduce manpower and also need less time to generate the report and store the data in the correct manner.
2. the second major factor is the accuracy of data because the data is recorded manually by administrators and the accuracy level can't maintain samely throughout the period.
3.security is another factor because the privacy of any employee is the major priority of any organization. when they record manually then misinterpretation can be done easily as any human is not perfect so using this HRIS provide good security of data and error occurrence is also low which again take less time.
4. competitors is the fourth most important factor for any change as they adopted lots of changes which make the environment more friendly for employee , so we need to gain the trust of our employee so hire and fire occur less and the cost involved in that is very high so we need to think of that factor too.
now the capture cost in that HRIS is there because any system when get install it doesn't include the cost of its installment but also involve other costs like facility upgrade, hardware, teaching cost etc. overall cost include: the cost of software, software license fees, technology change so need to teach the employee, new hire of specialist, system installment cost, remodeling cost ).
