Question
In the section “Disadvantages of File Processing
Systems,” the statement is made that the disadvantages
of file processing systems can also be limitations of databases,
depending on how an organization manages its
databases. First, why do organizations create multiple
databases, not just one all-inclusive database supporting
all data processing needs? Second, what organizational
and personal factors are at work that might lead an organization
to have multiple, independently managed
databases (and, hence, not completely follow the database
approach)?
Explanation / Answer
Organisations create multiple databases not just one-all inclusive database because:
1.There migtht be information that might be required by only a few departments not by entire organization.for example sales department might the flow of money and statistics ,however the human resources may have nothing to do with this data. So as a result these 2 departments have their indivisual databases with the kind of information they require at hand.
2.Ogranizations deals with other organizations and may be needing information technology from other companies. As a result the databse needs to include information from both the companies not just one as the system might be aquired from another company and the details related to them belongs to the other company.
3.A single al in one database may have no backup and as a result if this database fails or some information from this database gets deleted it may result to an overall business loss. However if a specific multiple database has a problem, it is easy to rectify it.
4.Companies have mergers and they require multiple databases including more information between orgranisation .This makes the need to use more than one database.
5.Presentation and querying multiple indvisual databases is easier rather than a very complicated overloaded all in one database.
The organizational and personal factors at work tht might lead an orgranization to have multiple ,independantly managed databses are following:
1.Conflict over data ownership. can result in having multiple databases: there are different people looking at data development and designs, another looking at data revocery and backup .As a result many people have different tasks with them and as a result of this it is impossible for all of them to perform all the tasks together. Some maybe inexperiences with recovery and some with development.
2.Rapid changes in the business world might require creating prototype of databases to see if it can fit in .if it works its fine otherwise it can be removed. If company will directly install it in the all in one databse it could affect the existing database and leading to an overall business loss. There is certainly a need to develop multiple databases not just one.
3.Databse design and implementation are 2 different processes.People belonging to each category cannot perform both tasks. They can only work on one task and one of the multiple databases with others on others databases.
4.End users always prefer developing their own databases rather than waiting for the organization to develop a centralized database which might take months or years.
