Question
Students are required to carefully the study the following Business Process Diagram and provide explanations in their own words. Students should comment on how this diagram could be improved further.
In our example... automated user manual order product Check stock Check raw materials in stock order catalog Warehouse DB Request raw materials from Supplier 1 Obtain raw maferials from Supplier 1 materials Manufacture plodut from warehouse Obtain raw materials raw materials from Supplier2 warehouse materials Supplier 2Explanation / Answer
The given business process diagram illustrates the process that happens at the backend of business when a customer places a purchase order.
When a purchase order is placed, the automated system checks for stock availability in the inventory record maintained in the centralized DB. If the product is in stock, it is retrieved from the warehouse. However, if the product is not in stock, then the automated system first checks the raw material availability of the same from the Suppliers catalog DB. If the raw material is available with the supplier, procurement of the same is conducted and is set in production to manufacture the product. This process is done to fulfill the purchase order. The procurement is always a manual process while the request checks conducted over DB are usually automated.
This diagram can be improved by incorporating a layer of production, to have a distinct separation in the manufacturing process. After the request checks are conducted and procurement is done, the raw materials must flow in the production block where the final product is manufactured. Also the path followed when a product is available in warehouse to fulfill a purchase order is not clearly shown. The user block is unnecessarily fed in the procurement process of raw materials from suppliers when there is not interaction of user with the system at that phase. All these needs to be corrected to make the business process diagram more effective.
