I would like to write about Document Management Systems. Document Management Systems (DMS) are computer systems and software used to store and track documents captured through the use of a document scanner in an electronic format. Document Management systems have allowed the health care industry to evolve tremendously over the past few years. Health care records are more accessible than they have ever been. The advancement of electronic medical records has evolved health care on many levels and given businesses the ability to import documents and store them in multiple ways.

Some of the positive things about Document Management Systems are they allow you to find, retrieve, and use documents readily. They eliminate the need for storage to keep paper documents and they improve security, as you will no longer have paper documents lying around that contain health care information on them. As information security is a positive aspect, it is also a negative one.

Authorized individuals should only view medical documents. If you have health care information, you need procedures for determining who can have access. The data needs to be properly encrypted. The most secure systems will encrypt data whenever it is sent as well as giving you the option of encrypting it when it is stored on the disk. There needs to be good audit controls to provide a record of most activity within a document manag ement system, identifying who accessed information, when they accessed it, and what modifications are made. The better the audit controls are, the better you can deal with potential security problems.

The primary audience for this report is anyone who is interested in information technology security and how it relates to medical records. I can research companies who specialize in medical record imaging as well as companies who create and maintain document management systems. Issues relating to security is also a topic I would like to further explore. I think this topic would be adequate to sustain a 10-page report.

Firstly an introduction to the document management system along with its importance for an organisation needs to be explained.

A document management system can change the way an organisation stores in tracks its documents by integrating them into one Central location by utilisation of the internet or other available digital Asset Management software options. An organisation can benefit in various ways by implementation of a document management system:

It helps an organisation communicate more effectively by facilitating easier collaboration and subsequent cooperation among employees even across distant Geographic locations. The ability to have instant access to all documents along with facilitation of sharing them through an online workspace environment such as an intranet allows all users to work as a team on the same or similar project resulting in subsequent enhancement of output achievement of results and optimisation of data utility through effective management. Communication facilitates informed decision making at every level promoting rational and logical decisions based on Analysis of data presented in a formal written manner.

In large organisations maintenance of documents to constantly update information to ensure that all information flowing through out the organisation is accurate, so that decisions based on such information are correct, can be a struggle. A document management system facilitates simple and easy modification of documents along with provision of monitoring and control system for track of documents with updation and management facility online through the intranet. Uses only required to upload a document manage all updates and versions are other modifications online through various features of the document management system including an automated archive and cleanup function for better organisation and maintenance of documents.

Document management system is an efficient tool providing exceptional intangible value to an organisation by minimization of costly errors due to mis-management of information or non availability of accurate information, or inability to access the required information at the required time resulting in poor or erroneous decisions. With the document management system every document is filed on the company intranet facilitating quick and easy location of the right information at the required time enabling the right decision making and access to all required information without extensive investment of time.

Ease of accessibility to documents becomes a crucial factor for people working from home or travelling for work. This is also critical for global organisations with offices scattered across geographical locations in different countries or continents. This also vastly reduces stressful situation due to having forgotten to carry important documents to a meeting, in another country.

With a Document management system productivity is greatly improved as it performs many routine tasks which are undertaken by staff such as uploading, editing, tracking and sharing of documents on a daily basis. This results in employees being more productive and subsequently more efficient.

The document management system allows all employees to remain constantly updated with all required communication and information within the organisation without it having two we communicate it individually or department-wise. Feature which facilitates acknowledgement through a read and agree box ensures that everyone has viewed the necessary documents. The software also allows for a deadline to be given with reminders being sent automatically if required, to the concerned person. This ensures effective communication with no excuses elapses available to staff for not having received the information or not having viewed it. The entire organisation can operate as a single team and be sure that all are on the same page.
